Service terms
Match Masters at tennisclub.tech is provided by a UK sole trader, trading as TheProCut (“we”, “us”). Contact me@theprocut.co.uk for support, billing or privacy enquiries.
1. The service and your agreement
These terms cover Match Masters club workspaces, event draws, scheduling, live scoring, player records and related support. They apply when you create or use a workspace. The service is intended for clubs, academies and independent coaches acting for their business or organisation. Account holders must be at least 18 and authorised to act for that organisation.
Creating an account alone does not open the club portal. A workspace owner must complete the required Stripe checkout.
2. Accounts and coaching teams
Use accurate account and workspace details and keep access secure. Each coach should use their own account. The owner manages invitations, membership and billing, and should remove access when a coach leaves. Tell us promptly about suspected unauthorised use. A person accepting an invitation must have permission to access the club’s records.
3. Trial, price and renewal
The advertised trial is 30 days for an eligible account. Checkout and a card are required before portal access. The introductory offer can be used once, on one workspace, per account and verified email identity. Cancelling, creating another workspace or signing up again with the same verified email does not give you another free trial. Returning customers subscribe at the displayed monthly price. The trial end date, renewal amount, currency and any applicable taxes are shown before checkout is confirmed.
Where a valid invitation link offers 50% off an ongoing subscription, the discount starts after the trial and applies while that subscription continues. It is for eligible new customers and cannot be stacked with another promotion. Cancelling and subscribing again does not renew the introductory offer. The offer and actual renewal price must be shown at checkout before you confirm.
When real billing is enabled, the subscription renews monthly after the trial unless cancelled. Prices are charged in the currency selected at checkout; your card issuer may charge conversion or other fees. Do not assume a displayed currency makes the service legally or operationally local to that country. We will give notice of a price change before it takes effect at renewal, with an opportunity to cancel.
4. Cancellation, failed payments and refunds
The owner can cancel renewal, update payment details and view invoices through Billing. Cancel before the trial’s first payment date to avoid the first subscription charge. Cancellation normally leaves editing access available until the paid or trial period shown in Billing ends; after that, the workspace is read-only and its owner can export records.
A failed payment, expired trial or ended subscription can restrict editing. Contact us if the displayed status seems wrong. Cancelling renewal does not itself delete a workspace or submit a refund request. Email us about an incorrect charge or a refund; we consider the circumstances and applicable law. These terms do not exclude statutory cancellation, refund or other rights that apply to your purchase.
5. Player information and your content
You retain your rights in the records you provide. You permit us and our service providers to store, display and process them only as needed to provide, secure and support the service, fulfil lawful instructions and meet legal obligations. You must have the necessary permission or other lawful basis to provide the records, including records about children.
Keep records accurate and proportionate. Do not upload sensitive health or safeguarding information, identity documents, unlawful content or material that infringes another person’s rights. Share player access links carefully: anyone holding a link can view its player page, including relevant opponents and results. Use the replacement-link control if access needs to be withdrawn.
Do not attempt to access another club’s data, probe accounts without permission, bypass subscription controls, distribute malware or deliberately overload the service. Reasonable use includes ordinary club administration and exports; it does not include unauthorised bulk harvesting of player information.
6. Events, draws and coaching decisions
The organiser chooses the format, entry order, scoring rules, dates and optional court times, and is responsible for explaining them to players. Draws and standings follow the selected app rules, including the displayed tie-break order. They are not a certification that an event meets LTA, ITF or another body’s competition regulations.
Check player eligibility, pairings, byes, results and the time allowed between fixtures. Automated checks for identical court or player start times do not guarantee that a complete event timetable is feasible. Coaches remain responsible for supervision, safeguarding, court conditions and decisions during play. Match Masters is an administration tool and is not a safety or emergency service.
7. Availability and responsibility
We aim to provide the service with reasonable care and skill. Maintenance, faults, network conditions and third-party service outages can affect access. There is no guaranteed uptime or courtside response-time commitment under this subscription. A lost connection can interrupt score saving; check the save status before leaving a scoring page and keep an alternative record where an event depends on it.
Use exports to keep an independent copy of records you need. The service is not a substitute for your club’s own retention and backup arrangements. Let us know about an error so we can investigate and take reasonable steps to correct it.
Responsibility for a loss depends on the applicable law and the circumstances, including whether it was caused by a failure to exercise reasonable care and skill. Nothing in these terms excludes liability for fraud, death or personal injury caused by negligence, or anything that cannot lawfully be excluded, and nothing removes mandatory consumer rights where they apply.
8. Suspension, closure and changes
We may restrict access where reasonably necessary to address a security incident, unlawful use, a material breach or payment failure. Where practicable, we explain the reason and how to resolve it; urgent action may be needed before notice. Contact us if you believe a restriction is a mistake.
Owners can request workspace deletion by email after exporting records they need. Cancellation alone does not delete records. If we plan to close the service, we will provide reasonable notice and an opportunity to export data, subject to urgent legal or security restrictions.
We may update features and these terms. Material changes affecting a subscription will be notified before they take effect where required. Changes do not retrospectively remove rights relating to payments already made.
9. Questions and disputes
Email the contact address above with the workspace name and a description of the issue. Do not include card numbers or passwords. We will try to resolve concerns directly. Nothing in these terms prevents either party using an available legal remedy or a user bringing a matter to a competent regulator or court. Mandatory protections in your place of residence apply where the law requires them.
10. Processing club records on your instructions
For personal data uploaded to a workspace, the subscribing club or coach is the controller and we are its processor, except for the account, security and billing purposes described in the privacy notice. The subject matter is tennis administration. Processing lasts for the provision and agreed retention of the workspace and consists of collecting, storing, retrieving, organising, displaying, updating, exporting and deleting records.
Data subjects include players, parents or guardians where their information is entered, and coaches. Data types are the names, contact or account details where provided, optional profile content, club memberships, competition entries, schedules, scores and related records described in the privacy notice. Sensitive personal data is not required and should not be uploaded.
- We process these records only on the controller’s documented instructions, including instructions given through the app, unless law requires otherwise. We inform the controller if we believe an instruction infringes applicable data protection law.
- People authorised to process the records must be subject to appropriate confidentiality duties. We maintain technical and organisational measures appropriate to the risks, including authenticated coach access, workspace separation and encrypted transport.
- The controller authorises the service providers identified in the privacy notice for their relevant processing roles. We require appropriate contractual protection for subprocessors and remain responsible for their processing obligations under this arrangement. We will inform affected controllers of proposed subprocessor changes and allow a reasonable opportunity to object on data protection grounds before the change where practicable.
- Taking account of the processing and information available to us, we assist the controller with individual-rights requests, security obligations, breach response and relevant impact assessments. We notify the controller without undue delay after becoming aware of a personal-data breach affecting its records.
- At the controller’s choice, we return or delete its personal data at the end of the service, unless law requires retention. An export is available to workspace owners; contact us to arrange deletion and clarify any retained copies or legal exception.
- We provide information reasonably necessary to demonstrate compliance with these processing duties and cooperate with appropriate audits or inspections, while protecting other customers’ information and service security.
The controller remains responsible for the lawfulness of its instructions, privacy notices, access decisions, accuracy and retention needs. This section applies to the extent the relevant controller–processor requirements apply; any separately agreed data-processing contract takes precedence where it expressly changes these terms.
